How to Handle Late Cancellations at a Salon

Updated 26 September 2026 · For beauty and wellness business owners.
A fair late-cancellation policy for salons and barbershops, including notice windows, deposits, exceptions and ways to refill the empty slot.
Choose a notice period you can actually use
A short haircut may be refillable with 24 hours notice. A full-day braid or colour appointment may need 48 hours. Choose the window based on how long the service occupies and how quickly your business can refill it.
Publish it before the client confirms
Put the policy on the booking page and repeat it in the confirmation. Clients accept a clear condition more readily than a rule they first hear when you are keeping money or refusing a reschedule.
Separate emergencies from patterns
Keep room for genuine emergencies, but do not let one exception turn into a different promise for every client. Repeat late cancellations can reasonably require a deposit on future bookings.
Try to refill the time
Keep a list of clients who asked for an earlier appointment and contact them when a suitable slot opens. A targeted message is better than discounting every appointment.
