How to Manage Multiple Stylists or Barbers

Updated 26 September 2026 · For salon and barbershop owners.
A team calendar is not just a list of names. It needs to know who works when, which services each person performs, how long those services take and when someone is unavailable. Without those details, a growing team creates more coordination work instead of more capacity.
Give each professional their own schedule
Set working hours, breaks, days off and holidays per person. A salon-wide opening time is not the same as an individual stylist's availability. The booking flow should never offer a professional at a time they cannot work.
Attach services to the right people
Connect each service to the professionals trained to perform it. Clients can choose a specific person when they have a preference, while clients without a preference can take the first qualified person available.
Use realistic durations
Schedule the time the service actually occupies, including consultation, preparation, processing and clean-up. Underestimating every service makes the whole team late and makes the calendar look more available than it is.
Make handovers visible
Client notes, formulas, photos and service history should stay with the client record rather than one stylist's phone. A clear record lets another team member take over without making the client repeat everything.
Measure the team fairly
Review completed services, sales, rebooking and utilisation by professional. The purpose is not to rank people by one number; it is to see where training, schedule changes or a better service mix could improve the day.
