How salons, spas and barbershops can use deposits fairly to protect long appointments without adding unnecessary friction to every booking.

Start with the appointments that are expensive to lose

A deposit is most useful when the empty slot would cost you a large part of the day: braiding, locs, colour correction, bridal work, long spa treatments or a first-time high-value booking. A quick appointment that is easy to refill may not need one.

Make the policy visible before booking

Tell the client the deposit amount, how it is credited against the final bill, and what happens if they cancel or reschedule. A policy shown before confirmation feels like an agreement; one revealed at checkout feels like a surprise charge.

Keep the rule consistent

Apply the same policy to the same category of booking. If exceptions are needed, record them clearly so the team does not make a different promise in every conversation.

Use deposits to create earlier notice

The point is not to punish a client. It is to give them a reason to protect the appointment or tell you early enough to refill it. Review missed appointments after a month and adjust the policy based on your own pattern.
